Appointments and cancellations.

How booking works, how long appointments run, and what happens if you cannot make it.

Our practice is appointment based, and we also welcome and accommodate walk-in patients. New patients are always welcome.

Please arrive at least five minutes before your first consultation, or complete our new patient form online before you come in.

Standard consultations are up to 15 minutes.

Health assessments, complex medical problems and removal of skin lesions all need extra time. If your visit covers more than one concern, let reception know when you book so we can allow a longer appointment.

Our doctors aim to keep waiting times as short as possible, but delays may occur.

Telehealth by phone or video is offered under some circumstances. Please call (07) 4527 1070 to check whether it is available for you.

When you book an appointment, that time is reserved for you. Missed appointments and late cancellations can stop other patients from getting the care they need.

If you cannot attend, please call reception or cancel through HotDoc as early as possible.

This policy takes effect from 27 October 2026.

A $30 Did Not Attend fee may apply if you:

  • do not attend a confirmed appointment without giving the required notice
  • cancel or reschedule within the late-cancellation period, and the appointment cannot reasonably be offered to another patient

The DNA fee is an administrative charge and is not eligible for a Medicare rebate. Fees are not applied automatically and may be reviewed based on individual circumstances.

We understand that unexpected situations happen, including medical emergencies, sudden illness, hospitalisation and family emergencies. If you could not attend for reasons like these, please contact reception. Your situation will be reviewed, and the fee may be waived where appropriate.

Where a DNA fee is outstanding, online booking through HotDoc may be temporarily restricted until it is resolved. You can still contact us directly to discuss your appointment needs, arrange payment or ask for a review.

Outstanding administrative fees will not stop you from getting medical attention. Patients who need urgent care are managed in line with our clinical triage procedures.

Reminders may be sent as a courtesy. You are still responsible for attending your confirmed appointment or giving the required notice to cancel.

Our cancellation policy is designed to improve appointment availability, reduce waiting times and give more patients the chance to access care. Thank you for helping us provide accessible healthcare to the Warwick community.

Strengthen your care with MyMedicare.

We invite all existing and new patients who consider us their preferred practice to register. It is free, voluntary and you can change your mind at any time.

MyMedicare is a free, voluntary patient registration model from the Australian Government. It lets you register with your regular general practice and choose your preferred GP and providers, strengthening the relationship between you, your GP and the team at Warwick Doctors.

The key benefits are better access, better continuity of care and better planning. Eligible registered patients can also access longer telehealth consultations with their usual GP.

Registration is not compulsory, you can leave at any time, and it does not affect your Medicare rights or benefits.

You need a Medicare card or DVA Veteran Card. Most patients also need at least two face-to-face visits with the practice in the last two years, though exemptions apply in some circumstances. Ask our team if you are unsure.

Your rights, privacy and feedback.

Ask reception and we will print the policy you need.

We collect and handle your personal and health information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Our privacy policy explains how your information is used, stored and protected.

We aim to give every patient careful, unhurried attention. If you are unhappy with any part of our service, please let us know so we can do better. Talk to reception or ask for the Practice Manager, or put your concerns in writing. We will acknowledge your complaint, look into it and let you know the outcome.

If you are still not satisfied, you can contact the Office of the Health Ombudsman (Queensland) on 133 OHO (133 646).
